Shelter Reservation Procedures

  • All shelter rental reservations require a 72 hour rental notice and payment made at time of reservation.
  • Failure to submit a shelter reservation request 72 hours in advance means that the shelter may be occupied on a first come basis
  • All shelter cancellation requests must be in writing and must be received 14 days in advance for consideration. Email all written cancellation requests to contactus@belviderepark.org
  • The permittee and their organization, members, guests, and invitees shall not enter, occupy or use the shelter until the time(s) and date(s) specified above.
  • As of January 1, 2026 all shelters require a deposit at the time of booking

Shelter Reservation Permit Terms and Conditions

 

  1. The permittee, their organization, members, guests and invitees, are bound by all park rules, regulations and ordinances pertaining to the use of Park District property. Permittee shall not permit any area to be used for any disorderly or unlawful purposes at any time. Permittee is solely responsible for providing any and all supervision at all times during permittee’s use of any Park District property. Further, permittee shall be responsible for ensuring that permittee’s organization, members, guests and invitees comply with all applicable rules and regulations pertaining to use of Park District facilities.   2. Any permit granted may be revoked at any time in the discretion of the Park District, including, without limitation, for misrepresentation of material facts in the application, or violation of the terms and conditions on the permit, the ordinances, rules and regulations of the Belvidere Park District and the laws of the State of Illinois.
  3. Payment is due at the time of reservation, and all refunds must have a facility refund request form filled out. You may request a form at contactus@belviderepark.org. Refunds are only considered according to our facility refund procedure. No refund due to inclement weather.
  4. The permittee recognizes and acknowledges that there are certain tasks of physical injury to the use of Park District property pursuant to this permit, and the permittee voluntarily agrees to assume the full risk of any and all injuries, damages or loss, regardless of severity, that permittee or any of permittee’s organization, members, guests, or invitees may have (or accrue to permittee or its invitees as a result of their use of District property pursuant to this permit. Permittee further agrees to waive and relinquish all claims the permittee or any of its organization members, guests, or invitees may have (or accrue to permittee or its invitees) as a result of their use of District’s property pursuant to this permit.
  5. It is fully understood and agreed by the permittee that permittee shall fully defend, indemnify and hold harmless the Belvidere Park District, including its officers, employees, volunteers and agents against any and all liabilities, claims, damages, losses, costs and expenses (including reasonable attorneys’ fees) arising indirectly or directly in connection with or under, or as a result of this permit.
  6. The permittee shall be responsible for and will forfeit the deposit for any damage to Park District property arising out of the use of the Park District’s property pursuant to this permit.
  7. Inflatable equipment is permitted only if the equipment is rented from one of our authorized vendors. Water features of any sort including but not limited to water slides, slip and slides and dunk tanks are strictly prohibited on park district property. Shelter Cleanup

 

  1. Extinguish all grills
  2. Return all picnic tables inside the shelter
  3. Remove all decorations, including tape, tacks, nails or staples
  4. Wipe down all picnic tables before leaving
  5. Remove all decorations, including tape, tacks, nails or staples
  6. Place all trash in designated bins
  7. Pick up decorations or debris from shelter ground

Sundstrand Shelter Cleanup

Cleaning up of the shelter and the surrounding grounds is the responsibility of the permit holder. If cleanup is inadequate, forfeiture of the permit holders deposit occurs.

  1. Remove all trash bags from the trash cans & place them in the nearest dumpster
  2. Remove all items from the refrigerator and clean thoroughly before leaving the shelter
  3. Extinguish all grills and fireplace
  4. Return all picnic tables inside the shelter
  5. Remove all decorations including tape, tacks, nails or staples
  6. Clean and wipe down all picnic tables and sweep the floor before leaving
  7. Close all exterior doors
